AI for accounting firms: an agent for busy season
Too much of tax season goes to chasing client documents and keying them in. This page describes a use case.
Which CPA firm tasks can an AI agent take over during tax season?
The repetitive work around the return. The agent sends document requests and follows up. It renames and files what comes in, enters transactions in QuickBooks and prepares reconciliations. It tracks deadlines and extensions in Karbon. Review, tax positions and signatures stay with your accountants. The agent prepares, a staff accountant reviews, and a CPA signs.
The work between the client and the return
Ask a CPA firm where busy season goes, and the answer is rarely the return itself. It goes to the work before it. Sending PBC lists. Chasing the client who promised the brokerage statements last week. Opening a folder of unlabeled PDFs, renaming files and keying figures into the workpapers.
Your software is good at what happens once the data is in. QuickBooks keeps the books, Karbon tracks the work, CCH Axcess prepares the return. None of them calls the client about the missing statement. None of them notices when a bank feed quietly stops syncing.
The profession is large and stretched. The Bureau of Labor Statistics counts about 1.6 million accountant and auditor jobs in 2025. Every one of them runs into the same collection work before a return can start.
So staff accountants spend the weeks before each deadline on collection and data entry. Extensions pile up for reasons that have nothing to do with hard technical work. The bottleneck is not expertise. It is the paperwork that has to arrive before expertise can be applied.
“We are in the verification business. That’s who we are. We are auditors, we are trusted, we are assurance providers.”
What the agent takes over
- Document requests sent from your checklist for each client, with polite, steady follow-ups on whatever is still missing.
- Incoming documents read, renamed to your firm’s naming rules and filed in the right client folder.
- Transactions entered or sorted in QuickBooks from statements and receipts. Anything unusual is flagged for review.
- Work status updated in Karbon as documents arrive, so managers can see which returns are ready to prepare.
- Reconciliations prepared and differences listed, ready for a staff accountant to clear.
- A deadline view per client, extension dates included, with reminders drafted ahead of each one.
What changes during busy season
We have not yet delivered an agent to a CPA firm. Our delivered work so far is in France: law firms, a surgical practice and enforcement-officer practices. There, agents drive closed professional software the same way this one would drive yours.
The expected change is concrete. Fewer hours of collection and entry per return. Fewer returns stuck waiting for a document nobody chased. Managers who know which files are ready. We measure the hours on one task before the agent starts, and again after, so the gain is yours to check.
The judgment stays where it belongs. The agent never signs a return, never gives tax advice and never decides on a treatment. It prepares; a staff accountant reviews; a CPA signs.
Client financial data
The agent is installed in your environment, and your files stay stored on your machines. Only the text a task needs is sent to the AI model, over an encrypted connection.
Client files, tax documents and bank data stay in your systems. The agent works under its own login, with only the access its task needs. It cannot file, pay or send anything to a taxing authority on its own.
Every action is logged with a timestamp. At the end of the day, the agent picks a few of the files it handled at random. A staff member checks them. That gives you a running measure of its reliability.
Pricing
From $1,700 per agent, then $170 per month for maintenance, plus applicable taxes.
An agent covers one task: document collection, bookkeeping entry or deadline tracking. Ideally, we scope it before busy season, not in the middle of it. It is priced per agent, not per seat or per client.
Frequently asked questions
Does it work with QuickBooks, Karbon or CCH Axcess?
The agent works inside the tools your firm already uses, under its own login, the way a staff member would. We check what works on your own setup during scoping, before any commitment.
How is client financial data protected?
Client files stay stored on your machines and in your systems. Only the text a task needs is sent to the AI model, over an encrypted connection. The agent has the least access its task requires, cannot file or pay anything, and logs every action.
How is this different from AI accounting software?
AI accounting software is a product you move your work into. A custom agent is built around the tools you already use and works inside them. Nothing has to be migrated, and the agent follows your firm’s own checklists and naming rules.
